9. Filming and Photographing
Clause 1
Cost of HRODC Postgraduate Training   Institute. Pre-designed and Customised Courses
           The cost of pre-designed courses delivered in-house to non-training and non-educational organisations, within the United Kingdom is modest, at four thousand Pounds (£4,000.00) to five thousand Pounds (£5,000.00) per day (depending on the type of course), based on a maximum of 10 delegates. A eight hundred pounds (£800.00) per day surcharge is levied for each additional delegate in attendance. Courses delivered on behalf of other training and educational organisations attract a fee of six thousand Pounds (GB£6,000.00) to seven thousand Pounds (£7,000.00) per day, based on a maximum of 10 delegates. A one thousand Pounds (GB£1,000.00) surcharge is levied for each additional delegate in attendance. No other costs are involved; No travel expenses claim; No subsistence costs, etc. However, an additional twenty five percent (25%) will be levied on courses delivered outside the UK, to cover the cost of travel and accommodation, etc. These costs include all paper-based materials used, such as course guides, course supplements, Awards - Postgraduate Diploma, Diploma - Postgraduate, or Certificate of Attendance and Participation. Some organisational resources may be required for use on the courses. These include CD and DVD Players, Data Projectors, Television Sets, Projection Screens and chart. These requirements are simply to facilitate lighter travelling and will be provided by the consultant, where they are either unavailable or inaccessible in the training room.

           The cost of seminars or public courses in the UK, with certain exceptions, is currently based on eight hundred Punds (£8,000.00) to one thousand Pounds  (£1,000.00) per delegate per day (depending on the type of course). Therefore, a five-day course costs four thousand Pounds (GB£4,000.00) to five thousand Pounds (GB£5,000.00), plus VAT, per delegate. Courses delivered outside the UK starts at one thousand pounds (£1,000.00) per day or five thousand Pounds (£5,000.00) for a five days. VAT is paid on courses delivered in Europe but not on those delivered in countries outside Europe. The costs of Postgraduate Diploma Courses, which are of a minimum of three month’s duration, are often discounted to encourage the take-up of the complete programme, as opposed to the studying of individual modules, on an accumulative basis.

All costs are reviewed periodically and might result in upward adjustment.
Clause 2
Cost Of General and Specific Consultancy Services
The cost of general and specific consultancy services varies and is determined by the Operational Director, following the initial contact and subsequent entry. It is based on specific formula, which takes account of:
         • The nature of the problem and urgency of the case
         • The number of key personnel who will be involved
         • The estimated length of time involved
         • The technical administrative support that will be  required

Cost Of Pre-Designed and Customised Training Packs
Each Training Pack includes all relevant training materials including an Electronic Presentation Disc (CD/DVD), Flash Memory or Memory Card, Course Guide and Course Supplement. The licence facilitates multi-site reproduction and usage of the materials, in their original or adapted format - whenever or wherever the organisation or public sector department wishes, within its establishment. Customised packs are organisation-specific and are owned by the client organisation, with copyright being owned by HRODC Postgraduate Training   Institute. Pre-designed training packs are available for all listed courses. Training packs incorporate:
          
            • Electronic Presentation Disc (CD/DVD)
            • Presentation Slides
            • Course Guides, with Delegate Activities and Evaluation Exercises
            • Course Supplements
            • Tutors’ Guides
            • Electronic Support
Clause 3a
Cost of Pre-Designed Training Packs
The cost of pre-designed training packs is based on the duration of the course, at three thousand Pounds (GB£3,000.00) per day. A Training Pack for a five-day course, therefore, costs fifteen thousand Pounds (GB£15,000.00). Power Point Electronic Presentations - without the additional materials such as Course Guides and Course Supplements - costs two thousand Pounds (GB£2,000.00) for each day of the course.
Clause 3b 
Cost of Customised Training Packs
The cost of Customised Training Packs takes development time into account. The cost, therefore, represents standard cost plus a reflection of the cost of the time that it takes to develop the material. However, the cost of pre-designed Training Packs is usually five thousand Pounds (GB£5,000.00) for each day of the course. Therefore, the cost of a five-day customised course will be twenty five thousand Pounds (GB25,000.00).
Clause 4
HRODC Postgraduate Training Institute. Refund and Cancellation Policy - Training Courses, Consultancy Activities, Research Papers, and Training Packs
All client cancellations must be made in writing (by fax, e-mail or post) but may be subject to a surcharge. If we receive your notice of cancellation by 29 days before the seminar or course is scheduled to take place, or consultancy activity is scheduled to begin, a registration fee any additional administrative costs are payable to the Institute. In the case of courses or seminars, a five hundred Pounds (£500.00) registration fee per delegate is payable. A 10% administration fee is payable for consultancy or in-house training, based on the total cost of these activities. If cancellation notice is received between 28 and 15 days before, a charge of 50% is payable.

Any Cancellation received less than 15 days before the seminar, or consultancy activity, will incur the full or 100% of the cost. There can be no cancellation of research paper orders. Pre-designed training packs cannot be cancelled, once they have been despatched. The 50% payment due on order of customised training packs cannot be redeemed, HRODC Postgraduate Training   Institute holding this amount in forfeit, following the breach of contract by the client. Additional payments that are due will be based on a sliding scale from expected delivery date to the date of cancellation.
Where the client or delegate's Cancellation of Consultancy Service occurs and airfares and, or, hotel accommodation are/ is involved, the delegate or client shall be liable for the payment of the unredeemable elements - whole or part - of the amount paid or due to be paid.

Student or Delegate's Cancellation Due To Extenuating Circumstances
If a student or delegate experiences extenuating circumstances, such as Flight Delay or Cancellation, Personal or Family Tragedy, the production of the relevant documentary evidence will result in the issuance of a Credit Note for the remaining amount, after the application of a five hundred Pounds (£500.00) administration charge per delegate. The Credit Note will be applicable towards the cost of a similar or alternative scheduled course and will have a Validity of ninety (90) days and is 'Un-cashable'. 

Clause 4c
Student or Delegate's Visa Denial
Where the Entry Visa of a Student or Delegate, to enter a particular country, has been denied, the Institute shall relocate the consultancy activity in another country, to meet the scheduled delivery date or as soon afterwards as possible. The most important factor in this alternative location, is the securing of at least one additional student or delegate - as an economic measure. After 3 Visa Denials to different Countries or Regions (e.g. Europe), arrangement will be made to deliver the consultancy service in the Domicile  of the delegate. Where an alternative location has to be used, the delegate  will make no additional payments, with the Institute meeting all additional expenses.

Consultancy activities within the European Union, including the UK, attracts Value Added Tax (V. A. T.). However, consultancy activities delivered outside the UK are generally more expensive on a net basis. Where consultancy activities, originally scheduled for the EU, have to be relocated to a country outside the EU, the cost will be recalculated, excluding V.A.T. (Government Tax) to take account of the country of delivery. The Institute will absorb any shortfall resulting from the differences in charges. Any additional amounts that accrue will   be used by the Institute, to cover any extra costs involved in the relocation of the Consultancy Activities.
Clause 4d
HRODC Postgraduate Training   Institute. Cancellation or Postponement of Seminars, In-house Courses or Consultancy Activities
While maximum efforts are made to deliver all the courses that appear in the seminar or course schedule, there might be occasions where cancellation or postponement will be necessary. HRODC Postgraduate Training   Institute, therefore, exercises the right to cancel or postpone seminars or public courses, where it deems it uneconomic or logistically unfeasible to hold them. The reasons might relate to low enrolment numbers, problems with venue availability, immigration restriction or the unavailability of qualified presenters. Where cancellation or postponement are unavoidable, delegates will be asked to attend the course rescheduled for the same or alternative location, nationally or internationally. While HRODC Postgraduate Training   Institute. will make all efforts to ensure that delegates and, or sponsors, are notified of any cancellation or postponement as well in advance as possible, there might be occasions where short notice will have to be given. It is in an effort to avoid the associated inconvenience, therefore, that delegates are asked for alternative and mobile phone numbers on the Postgraduate Application Form, to facilitate urgent contact with them.

Notice of cancellation or postponement of in-house courses and consultancy activities will be given at least one week before they are scheduled to take place but a shorter period of notice might be given in extenuating circumstances. Where postponement of these activities is necessary, HRODC Postgraduate Training   Institute. and the client will decide on a mutually convenient start date.
Clause 4e
Service Fee, Payment, and Protocol
The Commitment of the Institute to a Consultancy Activity and agreement with the costs, fixed or negotiated, established by the Institute, is reflected in the associated Invoice, representing a commitment to pay the stipulated amount for the services of the Institute

The delegate is expected to settle the stipulated fee, represented in the associated Invoice, at least five (5) weeks in advance of the Contracted Consultancy Activity. Exception is made for engagements formalised within a period that is less than five weeks before the commencement of the Service that the Institute will provide. In this case, Invoice settlement will be expected at the earliest possible date before the commencement of the Consultancy Activity. Specific Payment details, produced by the Institute, are included in all Invoices.

Modern Protocol would suggest that where the Consultancy Activity is in-house or on-site the delegate affords the Institute the honour of the provision of refreshment and a hot lunch, while in the 'Care' of the delegate. These courtesies will be reciprocated by the Institute to the delegate, during Consultancy Activities off-site in latter's Domiciled Location or in a  Foreign Location. Other inclusions will be at the discretion, or special request, of the Institute and delegate, respectively.
Clause 5 
Course Admission and Enrolment Procedure
  • On receipt of all the above documents we will make an assessment of the applicants’ suitability for the Programme for which they have applied;
  • If they are accepted on their Programme of choice, they will be notified accordingly and sent Admission Letters and Invoices;
  • One week after the receipt of an applicant’s payment or official payment notification, the relevant Programme Tutor will contact him or her, by e-mail or telephone, welcoming him or her to HRODC Postgraduate Training Institute;
  • Non-European Students will be sent immigration documentation, incorporating a Visa Support Letter. This letter will bear the applicant’s photograph and passport details;
  • Applicants will be notified of the dates, location and venue of enrolment and orientation;
  • Non-UK students will be sent general information about ‘student life’ in the UK and Accommodation details.
Clause 6
Payment Method
payment is required through our Corporate bank Account, in accordance with the details provided in the associated invoice. Cheques are accepted only in exceptional circumstances.

Payment Terms
Commitment to attend a course and agreement with our Costs, Payment and Cancellation Policy, above, are construed on submission of HRODC Postgraduate Training   Institute. completed application form, even before payment has been made. Similarly, clients’ commitment to our policy terms is assumed on consultancy engagement and in-house course booking. Course or Seminar payment should be made two weeks before the seminar is due to commence. Fifty percent of the cost of all consultancy activities should be paid two weeks before the start of the consultancy exercise. Payment for training packs and research papers should be made at the time of order confirmation.

HRODC Postgraduate Training Institute -  Course or Seminar Discount Policy
HRODC Postgraduate Training Institute is pleased to offer 5 Types of Discounts for attendance at its Seminars or Courses. These Discount Types are:
      Discount Type 1: Regular Individual Client Discount
      Discount Type 2: Regular Company Client Discount
      Discount Type 3: ‘Early Bird’ Booking and Payment Discount
      Discount Type 4: Group Discount                                                  
      Discount Type 5: Student Discount
      Discounted Fee-Payment Cut-Off Dates; Exception Clauses.
Discounted Fee-Payment Cut-Off Dates
In order for these Discounts to be honoured, we must receive payment from you by the date stipulated on your Invoice, under ‘Payment Terms’. The cut-off dates for Discounted Fee Payments are:

1. Discount Type 3A: ‘Early Bird #1’ = 80 days before the scheduled start of a UK Course, to which the discount should apply;

2. Discount Type 3B: ‘Early Bird #2’ = 60 days before the scheduled start of a course, outside the UK, to which the discount should apply,

3. Discount Types 1, 2, 4, 5 = 21 days before the scheduled start of any course to which the discount should apply.
If we do not receive payments by these deadlines, then a Discount Reclaim Invoice will be issued to recover the discount that had been previously applied.
Discount Type 1: Regular Individual Client Discount    
20% Discount is offered to any Delegate who previously attended another HRODC Course within 3 months of the one being booked. Payment must be received before the expiration of the 3-month period, in order for this commitment to be honoured;
10% Discount is offered to any Delegate who previously attended another HRODC Course within 6 months of the one being booked. Payment must be received before the expiration of the 6-month period, in order for this commitment to be honoured;
05% Discount is offered to any Delegate who previously attended another HRODC Course within 13 months of the one being booked. Payment must be received before the expiration of the 13-month period, in order for this commitment to be honoured;
Discount Type 2: Regular Company Client Discount
20% Discount is offered for any booking made within 3 month of a previous delegate of the same company/ organisation attending any HRODC course;
10% Discount is offered for any booking made within 6 month of a previous delegate of the same company/ organisation attending any HRODC course;
05% Discount is offered for any booking made within 13 month of a previous delegate of the same company/ organisation attending any HRODC course;
Discount Type 3: ‘Early Bird’ Booking and Payment Discount
An ‘Early-Bird’ Discount of 10% is offered for Advance Booking and Payment. The cut-off dates for booking and payment for this discount type are:
Discount Type 3A: ‘Early Bird #1’ =
80 days before the scheduled start of a UK Course, to which the discount should apply;

Discount Type 3B: ‘Early Bird #2’ =
60 days before the scheduled start of a course, outside the UK, to which the discount should apply,
Discount Type 4: Group Discount
We regard 3 and more delegates as a group. We will offer a 10% discount on all group bookings - i.e. 3 or more people from the same organisation. They will still qualify for Type 3: Early Bird Discount.
Discount Type 5: Student Discount
All students of any recognised Institutes, Colleges or Universities are entitled to a 20% discount. This discount can be combined with any other offer and should, where applicable, be applied after these offers.
Exception Clauses:
Discount Types 1-3 cannot be combined but the best discount will be applied.
Discount Types 1, 2 or 3 may, however, be combined with Discount Types 4 and, or, 5, where applicable.
Where payment is not received by the payment date stipulated on the invoice, the discount facility will be lost, for that particular booking and the client will be issued with a Discount Reclaim Invoice.
 
 
 
 
 
 
 
 
 
 
Clause 9 - Filming and Photographing.
As an educational institution, we make extensive use of films and photographs in our course delivery and promotion. These activities extend to films and photographs of our delegates, in attendance at our course deliveries, during the actual lectures, discussions, workshops, presentations, etc.

These film and photographs, having been taken by us, will be used in subsequent deliveries, and promotions. Some will be placed on our websites, promotional sites, used in on-line training, etc.

Any delegate who does not wish to be filmed or photographed, should inform us, in writing, at least three days before the event, or inform the tutor or or seminar assistant on the first day of the course, but before the actual start, of the event.
